Editing PDFs is something many people need to do, but unfortunately it’s not always the easiest thing to do. The format is not designed to be easily edited, and despite a plethora of Windows and web apps, there is no universal solution beyond Adobe’s expensive Acrobat Pro.

Further reading: Best PDF editors

Labelling PDFs

Labelling is probably the most common way to edit PDFs. Many times when sharing a PDF file with someone else, you may need to draw attention to something by crossing it out with a ‘marker,’ adding a comment, or drawing something in the document.

This type of editing is included in many PDF programs that do not have other forms of editing. Both Adobe’s otherwise very limited Acrobat Reader DC and popular third-party applications such as Foxit and Sumatra PDF support labelling and annotation. Full-fledged editors like PDFgear, PDF-Xchange, and Adobe Acrobat Pro also have it, of course, but so does the built-in PDF reader in Microsoft Edge.

Annotations and labelling are part of the PDF format and are saved separately from the content of the document. This means that markups you have made in one program will also appear in other programs, but may look different. Lines, geometric shapes, and freeform shapes you have drawn should look more or less the same, but even here there may be slight differences. So unless you save a screenshot of how it looks on your end, you can’t expect labelled PDFs to look exactly the same to the person you send them to.

Anteckna och märk upp
Take notes and mark up.

Foundry

Here are the different tools you can use:

Text marking – coloring and crossing out/underlining

In some applications, you first select a piece of text and then click on, for example, coloring. In others, you select the tool first and then select the piece of text to be changed. In both cases, the text is colored or underlined/overlined.

Graphic shapes – drawing with different geometric shapes

Draw in arrows, ovals, rectangles, rounded rectangles, lines, and other shapes.

Draw freely – best with a pencil or touch screen

If the ready-made shapes are not enough, you can use drawing tools and draw by hand with a mouse, tablet, or pencil if you have one.

Text

You can also add text on top of the content and change the font, size, and style of the text. This can be used, for example, to fill in a form that has not been made truly fillable.

Uppmärkta filer ser olika ut i olika program

Marked files look different in different programs. The same file as in the image above looks like this in Preview on Mac.

Annotations

An annotation is not a piece of text you have added on top of the regular content of the PDF, but a special type of content placed at a point on the page, linked to a piece of text that can be displayed in different ways in different programs. Often you can see notes both in a box next to this point (click to show or hide) and in a list of notes alongside the content itself. It works much like comments in Word.

Reordering, deleting, and rotating pages

Reorganizing and removing unnecessary pages in a PDF is also a common task. For example, a document you often print and you don’t want to select pages every time, or a scanned book where some pages are in the wrong order and you want to avoid confusion.

A related problem is documents where individual pages — or all of them — are in the wrong order. Typically, scanned documents are printed in landscape mode where you normally just turn the document and read the page. On a computer, this is not as easy, so it makes more sense to rotate the pages of the PDF so that the text and other content is in the right place to read.

Deleting individual pages is also something you may need to do, and is possible in most programs that can also rotate and move pages.

Flytta sidor
Moving pages.

Foundry

Here’s how to move pages in PDFgear. It may work similarly in other programs, but also slightly differently, so check the documentation or help pages if you have a different program.

  1. Click on the tab Page.
  2. Click on one or more pages to select them.
  3. Drag and drop to move the selected pages. The program clearly shows how they will be placed.
  4. Click OK when the program asks if you really want to move them.

To delete pages, select them and click on Delete Pages in the toolbar. Rotate works the same way, with two buttons to rotate either left or right.

Onlineverktyg för att ändra ordning på och ta bort sidor

Foundry

If you don’t want to install a program in Windows, you can try the web tool Simple PDF, which doesn’t upload the files but does all the work directly in the browser on your computer. To move a page here, use the up- and down-arrow buttons next to the thumbnails in the page list on the left. Unfortunately, you can only move one page at a time, so if you need to reorganize your document, this is not the most practical solution.

Simple PDF also has buttons next to the thumbnails for deleting and rotating pages. This also applies to each page individually and there are no functions for selecting and working with multiple pages at a time.

Merging PDF files

Want to combine the content from several PDF files into one? This can be useful, for example, to collect all the invoices from a company in one file, merge two files to be printed together, or insert a scanned copy of a signed contract into the original PDF.

Of the free programmes I’ve tried, PDFgear has the easiest tool for this, while Apple’s Preview is much easier for Mac users. Online tools such as Acrobat Online and ilovepdf.com can work okay, but they sometimes put the pages in the wrong order and you can’t easily select only certain pages from one file to add to another.

Slå ihop pdf:er
Merge PDFs.

Foundry

In PDFgear, open the first file and click on Page tab. Then select Insert Pages > Insert PDF (you can also choose to import from Word or an image, or add a blank page to make the document print correctly double-sided or with two pages per sheet). Once you have selected a file, a dialog box appears where you can already choose which pages to insert. You can mix ranges and single pages — for example “1,2,5-8,12” to insert pages 1, 2, 5, 6, 7, 8 and 12. Here you also choose where in the document the new pages should be placed — first, last, or before/after the selected page.

Once the pages are inserted, you can move them as usual (see above).

Converting PDF to plain text (and common problems)

With other file formats that have text, it is usually easy to copy or export the content to plain text — for example, to quote it in another text. This is not the case with PDF. Seemingly simple things like highlighting a line of text can be almost impossible as the PDF viewer gets the idea that the text is actually two columns and when you pass a certain point, the entire left “column” is suddenly highlighted.

Even when it understands that all the text is part of a text block and should be highlighted line by line, there can be errors. When you paste the copied text, it often has line breaks or paragraph breaks after every other line, so that a paragraph does not behave at all like a paragraph in Word or other word processors.

This problem has been around for many years and for some reason has still not been fixed by any developer, even though it has worked in Apple’s Preview since Mac OS X was released in 2001. Neither Adobe, Foxit, PDFgear, Microsoft Edge, nor Firefox can handle it.

Kopiera och klistra in – inte så enkelt

Something as simple as copying a few paragraphs of text and pasting it into another program can cause problems if the source is a PDF.

Foundry

I have tried a number of methods to fix this, and found two that work relatively well in most cases. For single paragraphs, by far the easiest is to copy and paste into a browser’s address bar, then select everything and copy again. The address bar automatically removes all line breaks so the result is a single piece of clean text with no formatting.

  1. Copy and paste the text into Word or another word processor, with all unnecessary paragraph breaks.
  2. Find and replace double paragraph breaks with a special character or a small text string that does not appear at all in the text, such as #@#.
  3. Search and replace single paragraph breaks with spaces.
  4. Find and replace #$# (or whatever you chose in step 2) with a single paragraph break.

You can copy a paragraph mark by clicking the paragraph mark button in the Home tab and then selecting one from the text.

For full pages or documents, I recommend trying one of the many pdf-to-docx converters available on Acrobat Online, for example, and copying from the resulting Word file. It usually works, but not always. Search-and-replace to remove line or paragraph breaks can also work, but of course it also removes paragraph breaks that should actually be there.

PDF files that are not text but scanned images must first be OCR scanned before you can copy any text. Some PDF readers can do this automatically as you read, but you can also use a program that scans the whole document at once and converts it to text. This can be done with various online tools or installed programs such as PDFgear.

Advanced PDF editing – changing text and images

The PDF format was not designed to be editable. The content is not neatly organized and PDF editors have to carefully make changes to the code so as not to ruin the layout when changing text and other elements. But where there is a need, there are usually solutions, and there are now a number of programs that allow you to make changes to text, images, and other things in existing files.

Really small changes, such as correcting spelling mistakes, usually go without a problem, but with larger changes, the rest of the document can still be messed up. So it’s best to always edit a copy of the file and make changes step by step.

Of the free programs I have tested, PDFgear is the best in this area too. The only major shortcoming of the program is that it is not possible to edit already existing images. You can replace an image by inserting a new image and placing it over the old one, but you cannot, for example, resize or delete an image. This is something Acrobat Pro and some other paid programs can do.

Redigera text och annat innehåll i pdf:er
Edit text and other content in PDFs.

Foundry

In PDFgear you will find the editing functions in the tab Edit tab. Of course, to edit text you use Edit Text. Add Text and Add Image add new text and images, of course. Link-function is interesting. It allows you to draw a rectangle which then becomes a link. The rectangle can be visible or invisible and the link can go either to another page in the document (useful if you have a book with a table of contents that was not created with links, for example) or to a URL.

Lägg in länkar i pdf-filer
Inserting links in PDF files.

Foundry

Edit Object-function works on editable objects that also include some non-text, but as I said, I can’t change images and I haven’t found any other graphical elements that can be edited. The developers of the program have promised better support for editing in the future, so hopefully the need for paid programs will decrease.

I haven’t found any free software for Windows that can remove or replace existing images, but there is an online tool that seems to work pretty well: Xara. You have to create an account, but all PDF editing is included in the free version. Xara also looks decent for editing text and other things, so it could be a decent alternative to PDFgear and paid software.

Skapa ifyllbara pdf-formulär
Create fillable PDF forms.

Foundry

Creating forms for others to fill in

Finally, we come to an area where Adobe’s Acrobat Pro is king, but where there are decent third-party solutions these days: turning flat PDFs into fillable forms. You’ve probably filled one out yourself at some point, and appreciated how much easier it is than manually adding text or printing and filling it out by hand.

There are some alternatives, both cheaper paid programs than Acrobat Pro and web-based services. One example that I find works well is the free service Sejda. It allows you to add text fields, checkboxes, and multiple-choice menus. Text you enter in text fields can be removed when the file is filled in and can thus be used to deliver instructions on how to fill in the field without having to leave space for it outside the field.

How to password protect PDF File in Windows 11/10

Microsoft Word possesses the built-in ability to save documents as PDF. It doesn’t require you to get a converter to get the job done. Earlier, we had learned how to password protect Office documents. Today, we see the method of password protecting a PDF file in Word. The tutorial is for Office users who are not aware of the feature found in Word that allows you to encrypt and password-protect PDF files as well.

Please note that if you lose the password for the file, you will not be able to recover it without using password recovery software. Therefore, I advise you to store all the passwords in a safe place if you plan to use this feature for protecting multiple PDF files.

Here’s how to go about it.

Open a Word document that you would like to save in PDF format and encrypt withpassword, complete the writing or editing.

Password Protect PDF File

Once done, click the ‘File’ menu and then click Save As tab.

Next, select the location of your choice where you would like to save the PDF file.

Upon finding the ‘Save As’ dialog box, select Save as type as PDF from the drop-down menu and then hit the ‘Options’ button to open Options dialog.

PDF option

Here, enable the option that reads as ‘Encrypt the document with a password’ and press ‘OK’ button.

Options box

Now, simply enter the password that is easy for you to remember, but hard for others to guess and use it to protect your PDF file. After entering the password once, re-enter the same password before clicking OK button.

Read: How to Remove PDF Restrictions using free software or online tools.

Lock PDF from editing

It’s advisable to keep the password between 6 and 32 characters long. All done, click the OK button and hit ‘Save’ to save the PDF file.

Password

Now, when you try opening this PDF file with Office or any other program, you’ll be prompted to enter the password to either view or edit it.

TIP: You can also use these free software to password protect PDF documents.

New Enterasys CEO: We're On The Comeback Trail

At least, that’s the message he plans to bring to partners, customers and employees in coming months.

At the crux of the company’s revival will be a strong sales and marketing push, undertaken hand-in-hand with Enterasys solution providers, Fabiaschi said in his first interview with CRN since joining the Andover, Mass.-based company at the end of April.

“I’m trying to get the company to acknowledge and understand that ‘sales’ is a process, not a department,” Fabiaschi said. “The partner is now an extension of our company.”

Fabiaschi pledged to take a personal role in helping partners grow Enterasys sales. Over a 12-month span starting in August, he plans to attend approximately 75 partner events, to which solution providers will bring in their customers to learn about Enterasys’ networking and security product road map.

“I’m going to be out in the field with them slugging it out,” Fabiaschi said. “Now it’s just words from me, but in the next three months, six months, nine months, they will see us deliver.”

Enterasys has struggled to gain visibility as it grappled with drooping financial results, layoffs and executive turnover. Throughout, the company maintained the high quality of its technology, which several solution providers said has kept them and their customers loyal.

“They do have the technology. They have always had better products, and the people who have their products are very loyal to them, which makes us loyal to them,” said Mike Bramm, CTO of CompuNet International, a partner in Brooklyn Park, Minn.

It’s the marketing savvy that’s been lacking, partners said. Going forward, Enterasys needs to Improve communications and include partners in its marketing efforts, said Jake Mitchell, COO of InnovationsTech, Pittsburgh. In the past, for example, partners have not been given advance notice of the vendor’s national marketing campaigns, losing the opportunity to piggyback with their own local marketing efforts, he said.

Toward that end, Enterasys is embarking on new lead- generation programs and in a few weeks is launching a deal-registration portal, said Jim Harold, vice president of worldwide channels. Funding has freed up since Enterasys was acquired by The Gores Group and Tennenbaum Capital Partners in March and taken private, he said.

How to fix a blurry PDF file?

The PDF file format is a great way to save images and text in a document. PDF is great because the image and text can keep their original quality. Even if the PDF document is not opened in the same software as the original it can still retain its quality. PDF files can be opened and created by a lot of software, so they are quite easy to work with. Since you will likely work with PDF, learning to diagnose and fix a blurry PDF is worth learning.

How to fix a blurry PDF file

With PDFs becoming popular, and easy to share, many people use them and want to save other file formats to PDF. For example, people save Word documents, PowerPoints, and even Excel files as PDFs. When working with PDF files, there may be times when the PDF may come out blurry. You will find it helpful to learn how to fix a blurry PDF file. This article will show you how to troubleshoot and fix blurry PDF files.

  1. Find a higher-quality source
  2. Fix output settings
  3. Check software compatibility
  4. Keep zoom at the correct proportion

1] Find a higher-quality source

One reason your PDF may be blurry is that the original document may be of low quality. PDF can save high-quality documents, however, if the source document is of low quality, the saved PDF will be blurry. Documents with a resolution lower than 72 pixels for web display or lower than 200-300 pixels for print, will result in blurry pixelated PDF output. If a small image is enlarged, it may show blurry when changed to PDF.

2] Fix output settings

Many software can output PDF either through their own built-in capabilities or the use of third-party software such as Microsoft Print to PDF. Some software such as Photoshop, InDesign, Illustrator, and others deliver the user the ability to change the output settings of the PDF document. Some software will by default output low-quality PDF documents. This means that you will have to change the PDF’s output settings to a higher resolution before finalizing the save. If the image is intended for print, make sure the setting that you chose is for print and not for screen display. PDF documents may show well on screen, but they may be blurry when printed so it is best to choose an output setting that is for printing.

3] Check software compatibility

Your PDF may be blurry because the software is incompatible. You may have used third-party software to convert your document to a PDF. This third-party software may not be compatible with some elements in the original document, and this can make the output blurry. If this is the case, use another software to convert the document to a PDF. You may not know that the cause of the blurry PDF is the incompatible software, however, if you have a blurry PDF after converting then try using other software to convert to PDF to see if the software is the problem.

4] Keep zoom at the correct proportion

Some PDF viewers will show images or text blurry if the document is viewed at a smaller size than 100 percent. This can affect output especially if the PDF is going to be copied using screen capture. If you are going to screen capture the PDF, make sure that the document is at 100 percent. It is best to crop the result instead of resizing it. avoid using JPEG compression as this will make the document blurry.

How can I make a blurry PDF sharp?

Sometimes the only way to fix a blurry PDF is to rescan if it was from a physical document. A blurry document can be a result of placing a document incorrectly in the scanner, folds, or creases in the paper.

TIP: You can repair PDF using PDF Fixer Tool

How can I edit PDF without Adobe Acrobat?

Microsoft Word can edit PDFs, especially PDF that is has no tables and graphics. To edit a PDF in Microsoft Word, go to the PDF file then Right click on it and choose Open With then Word. You will get an information window pop up, click Ok and you will see the PDF open in Microsoft Word. You will be able to edit the PDF like a regular Word document. If you want to save it as PDF you can just go to File and then Print and then choose Microsoft Print to PDF as the printer. When the  Save dialogue box appears choose a file name and click Save.

One In Three VARs Says Has Fired A Vendor This Year

Surveying The Channel

Enterasys Networks recently revealed the results of its global channel partner survey, a set of technology- and vendor-related questions that were answered by 170 of its solution providers worldwide.

While some of the questions were specific to Enterasys, many were not, and they serve as an interesting (and sometimes shocking) sample of what's top-of-mind for solution providers today.

Ranging from partners' biggest vendor pet peeves to the newest technologies they're chasing, here's a look at some of Enterasys' most significant findings.

Cutting Ties

Bob Noel, director of global channel and field marketing at Enterasys, said the most surprising finding from the survey was the fact that 25 percent of solution providers have "fired" a vendor in the past 12 months. In North America, Noel said, that figure was an even larger 33 percent.

Survey-takers weren't asked to identify the specific vendors with which they cut ties, but they were asked to deliver the reasons for the split (hint: see next slide).

"In North America, one out of three VARs has fired a vendor this year," Noel said. "And there were five key reasons they validated as to why they had done that."

Vendor Headaches

The biggest complaint solution providers expressed about their vendor partners was a lack of vendor-provided leads, with 42.7 percent of survey-takers identifying the issue. An excessive number of competitive resellers and channel conflict was the second-biggest challenge with 33.6 percent, and poor service and support came in next at 31.3 percent.

Just shy of 30 percent of survey-takers said insufficient profitability or ROI was their biggest vendor challenge, while 27.5 percent said it was a lack of understanding of the partner business.

"[VARs are saying] if you as a vendor don't get the changing of my business model and don't support me with services and programs, then we are no longer in sync and I don't want to work with you," Enterasys' Noel told CRN.

Trust Issues

Enterasys' survey revealed three other reasons solution providers may choose to break things off with vendors. A lack of trust was one of the largest, with more than 48 percent of respondents identifying this as a pain point.

About 36 percent of solution providers said poor vendor services and support was another potential deal-breaker, and roughly 27 percent said they'll call it quits when there's lack of alignment between a vendor's business goals or go-to-market strategies and their own.

New Business Models A Priority

Of the 170 global solution providers surveyed by Enterasys, roughly 60 percent of them identified the move to selling integrated solutions as the top priority for them in 2013. For 20 percent of respondents, the biggest priority this year is transitioning to a new business model -- namely, away from one-off hardware sales and toward recurring revenue opportunities. Some 9 percent said industry or vertical specializations were a main focus.

Enterasys' Noel said the fact that integrated business solutions emerged as such a big priority for the channel was an eye-opener, and one that will push Enterasys to ensure its own solutions can interoperate with those from other vendors.

"One of our key takeaways was that, as a vendor, if you want to attract more VARs to your business, you need to make the interoperability and programmability easy," Noel said. "And not just by supporting standards, but by making open APIs available to the partner to create a business model that provides real value to their customer."

BYOD Is A Big Deal

Solution providers taking the Enterasys survey were asked to identify what they consider to be the top three technology trends for the year. Enterasys found that mobility is top-of-mind for many solution providers today, with 74 percent of respondents electing BYOD and 60 percent electing mobility, in general, as the biggest trends in technology this year.

Cloud computing also emerged as a mega-trend, with 60 percent of solution providers identifying the technology as one of the most significant for them this year.

Best PDF Editors Of 2024

Forbes Advisor India reviewed 60 PDF editing software providers, and scored them across 19 parameters to rate them on a scale of 1 to 5. We’ve evaluated their pricing, refund policy, customer support and reviews, device support, availability of PDF editing features such as watermark, PDF converter, protection measure, and general editing features to come out with the final scores.

General Backup Features

A PDF editing software must be able to annotate, organize, batch, compress, combine, create, convert, and include features such as sign documents, password protection, to name a few. Optical character recognition (OCR) and watermark were also considered as a general feature.

Device Support

An extra scoring was given to PDF editing software providers that support devices including macOS, Windows, iOS, and Android. An extra scoring was given to availability of cloud storage, as well as flexibility to add a number of users per plan.

Free Plan, Premium Pricing and Moneyback Guarantee

A free plan may help many users to get accustomed with using PDF editing software tools, and upon satisfaction opt for premium plans, either subscription based or for lifetime purchase. A moneyback guarantee, and free trial options would help users to cancel subscriptions if they aren’t satisfied with the service.

Customer Support, Reviews

Scoring was also based on user experience and feedback posted on third-party review sites such as TrustPilot. Availability of tutorials to use editing tools, phone, email, live chat, community forum, and ticket support, and importantly their response time to resolve customer queries were given an extra scoring.

Best PDF editors 2024: Our top picks

It’s likely that you regularly come across or work with PDF files—they’re ubiquitous in our modern cross-platform world. Most of the time, when viewing a PDF, you can enjoy free software that allows you to read or comment on these files. But what if you need to edit them as well? That’s where a PDF editor comes in.

The best PDF editors allows you to edit, create, alter, and convert PDF files just like you would with any other text document. Adobe Acrobat is the most famous option for most people. But while it’s excellent both in features and utility, it’s also pretty expensive. Thankfully, in accurate years a whole host of third-party PDF editors have sprung up in order to provide less expensive alternatives.

Here at PCWorld we’ve tested many of these top PDF editors and curated a list of the very best. With different use cases in mind, we’ve included picks for the best overall, best budget option, and even a recommendation for the best free PDF editor—because sometimes you just don’t want to pay for the basics. Check out our recommendations below to find the best PDF editor for you.

Update 12/18/2023: To include Foxit PDF Editor 13 as our new choice for best overall PDF editor runner-up. Read more about this excellent alternative to Acrobat in our summary below.

Adobe Acrobat Pro DC – Best overall

Pros

  • Easily navigable tabbed interface
  • Comprehensive PDF editing features
  • Streamlined sharing feature makes it easier to fill documents and get signatures

Cons

  • Rich feature set can be overwhelming for new users

Price When Reviewed: $19.90/mo I $239.88/yr

Adobe Acrobat Pro DC remains the industry standard for good reason. Its rich combination of creation, editing, reviewing, and security features are mimicked by the best alternative options, but we feel Acrobat still does it best. Its accurate interface redesign makes it much easier to navigate through its robust toolset than the nested menus of yore, and its cloud subscription option puts its advanced features within reach of more individuals and small businesses. (See how it compares to the Adobe Acrobat Standard DC.)

Though many of its features are available in other, cheaper PDF editors, Acrobat is still the editor against which all others are judged.

Foxit PDF Editor 13 – Best overall runner-up

Pros

  • Multi-platform
  • Business-ready capabilities
  • AI integration helps with document editing

Cons

  • Can be expensive depending on product license

Price When Reviewed: $179.99 (Standard version, perpetual license)

Foxit PDF Editor 13 hits all the right notes for a premium PDF editor and can even take on the formidable Adobe Acrobat. It’s packed with features that are sure to please power users—all the requisite content editing tools; review and markup features; form fill and signing support; and robust security options for sensitive documents, such as permissions, password protection, and data redaction. It supports tons of file formats, and adding hyperlinks, images, and files to a PDF is trouble-free.

Indeed, ease-of-use is one of Foxit’s great strengths. The program uses a Microsoft Office-style ribbon interface which groups tasks in a familiar and intuitive interface, making for a seamless integration with your workflow. It also provides ChatGPT integration so you can easily get help with your documents from an AI assistant. Yes, it’s priced on the higher side for a PDF editor, but with all it has going for it, Nitro PDF Pro more than earns its keep. Plus, you can try it out for free for seven days to see if you like it before making a commitment. If you’re looking for an Acrobat replacement, you won’t find many better.

EaseUS PDF editor – Best budget option

Pros

  • Full set of editing tools
  • Annotation options enable easy collaboration
  • Straightforward interface

Cons

  • Windows only
  • Needs subscription to remove usage limits

Price When Reviewed: Free I $29.95/mo I $49.95/yr I $79.95/lifetime

EaseUs might not have the name recognition of some of the other editors on this list, but it’s more than capable of holding its own in the crowded PDF editor market. It provides all of the essential tools for managing PDF files without any of the elaborate or hard-to-understand features. It allows users to jump right in to their toolset and get straight to editing with only what they need.

While EaseUS’s features are great, they are also pretty standard fare among PDF editors. What makes it stand out is its affordable price—it’s a great value for those who regularly edit PDFs and don’t want to pay out the nose. EaseUS also offers a fully functional free version (with embedded watermarks on your edited documents) so users can take it for a spin to see if it meets their needs before they commit to paying any money.

PDF Candy – Best free option

Pros

  • Many advanced features
  • OCR capability
  • Very easy to use

Cons

  • No Mac support
  • Free trial only offers basic features

Price When Reviewed: Free

PDF Candy is the rare free PDF editor that offers a lot of the features you’d typically have to pay for. We’re talking scanning, multiple file-conversion options, and OCR functionality. All of this combines to make PDF Candy stand out among the multitude of lesser free PDF editors. It does have a bit of a wonky interface, but once you get the hang of it you’re off and running.

Unfortunately, while the free version has access to the expansive toolset of the paid version, you’re limited to one PDF task per hour. If you want unfettered access, you need to shell out $6 per month, or $48 per year.

Pros

  • Syncs across Mac, iPhone, and iPad
  • Comprehensive editing and annotation tools
  • Simple, intuitive interface

Cons

  • Requires annual payment
  • Lifetime license enables use on Mac only

Price When Reviewed: Free 7-day trial, then $79.99 annually

PDF Expert is an excellent editor that fits seamlessly into the Apple ecosystem, making it our pick for Macs, iPads, and iPhone users.

While macOS does include a PDF editor in its Preview app, iOS devices don’t have a native PDF editor and PDF Expert fills that gap nicely. It has a clean and intuitive interface and offers a plethora of easy-to-use editing options such as page management, converting scanned files into editable documents, and conversion to other file formats, among other things. The pricing plan is also considerably cheaper than most of the other top picks, meaning this is a no-brainer for Apple users.

Apple Preview PDF editor – Best free option for Mac users

Pros

  • Full set of PDF markup tools
  • Supports form filling
  • PDFs can be protected with passwords, encryption, and permission controls

Cons

• Limited native sharing options
  • Only available to Mac users

Price When Reviewed: Built into macOS

Mac users needn’t look beyond the macOS for their PDF editing needs, since there is a full set of PDF markup tools already available at their disposal in Apple Preview. It has the chops to handle most personal and business PDF editing needs, including encryption, password protection, and permissions for files.

Apple Preview’s PDF features and capabilities are impressive and should be all you need for most common editing tasks. The drawback, of course, is that only Mac users can take advantage of them.

pdfFiller – Best web-based editor

Pros

  • Intuitive web-based interface
  • Robust security options
  • Lots of business-ready capabilities

Cons

  • Business features won’t be needed by some users
  • Requires annual commitment to get best value

Price When Reviewed: $8 per month (annual commitment) I $20 per month (cancel at any time)

pdfFiller is a browser-based PDF editor that allows you do to just about everything PDF-related—editing, securing, sharing, creating, and storing PDF files—all from its intuitive and simple web interface. Its design is similar to a desktop app, with the toolbar across the top, and document thumbnails along the side, so it’s very easy to select the page you want to work on and perform the desired function, be it adding, deleting, or copying/pasting text; changing font style, size, and color; and so on. A standard set of markup tools is also available. It has a surprisingly deep set of features for both personal and business use. For instance the Premium plan offers an impressive legal document library, as well as SignNow support.

While incredibly versatile, not all of pdfFiller’s advanced features will suit everyone. Fortunately, there are three subscription tiers, which gives users a way to meet their editing needs without paying extra for unnecessary features: Basic for $8/mo; Plus for $12/mo; Premium for $15/mo with an annual commitment. Month-to-month options are also available, but at a higher cost, of course.

A word about online PDF editors

Why spend a chunk of change on a desktop editor when free online PDF editors abound? The simple answer is because you get what you pay for. Generally, free online editors will let you add text and comments, merge and split documents, and convert files to and from PDF. With rare exception, however, they won’t let you edit existing text and many have file-size and page-volume restrictions. And a lot of them will watermark your edited document. For these reasons, web PDF editors are best reserved for simple, fast editing jobs. Call in these big dogs for anything more demanding.

What to look for in a PDF editor

PDF editors come in a variety of flavors, offering varying feature sets—from basic functionality to power-user tools. It’s important to know what features best match your workflow before you commit to a PDF editor.

Create, convert, and export PDFs

The most fundamental function of a PDF editor is to make PDFs, either from scratch, scanned hard copies, or by converting digital documents. A good PDF editor should be able to transform a variety of file types—from Microsoft Office formats to images to HTML—and do so seamlessly, preserving the original formatting. It should also include OCR technology to make the PDF text searchable and editable. Likewise, a good PDF editor must be able to export PDFs into other editable formats such as Microsoft Word and PowerPoint, HTML, or plain text, maintaining the original files hyperlinks, images, and other elements.

Content editing

Another bit of magic that PDF editors unlock is the ability to modify text; insert, resize, and move images; and reorganize pages in the PDF. A good one will perform these tasks as easily as in a text document or slide deck, allowing in-line editing, dragging-and dropping graphics, and adding or removing hyperlinks.

Review and annotate

A good PDF editor should also let you or anyone else using it add comments and other annotations to PDF files during review. It should have tools to mark up both text documents and graphic-heavy files like webpages. Common options include sticky notes, callout boxes, highlighting, freehand drawing tools, and stamps with messages like “approved,” “revised,” and “confidential.”

Security

All businesses deal with documents containing sensitive data. Look for a PDF editor that includes security features that allow access for authorized eyes only. Good options will usually offer several levels of security, including password protection, permissions setting, and content redaction, which “blacks out” selected text and images. Most PDF editors will also offer one or more ways to electronically sign documents.

Mobile support

While deep PDF editing is best done on a desktop, it’s nice to be able to review and annotate files when you’re out and about. While PDFs can typically be reviewed in any PDF reader or editor, regardless of which one they were created in, consider looking for an editor that has a dedicated mobile app, is optimized for mobile devices, or allows cloud access to features through a mobile browser.

One of the great things about a PDF is that it can be read and edited in any PDF program regardless of which one it was created in. So beyond the features outlined here, let your personal preferences guide you in making your decision.

FAQ

1.

What is the difference between a PDF document and a PDF form?

While there are a number of different types of PDF file formats, they all fall under the umbrella term of PDF documents. A PDF form is a type of PDF document that has editable form fields a user can fill out. Typically, parts of the document are static and can’t be changed in a PDF form, such as questions in a survey or instructions about filling out the form. In a PDF form, the content fields a user fills out are open to editing and can offer a list of possible answer options or can be written in freely.

2.

Are PDF documents and Word files different?

Yes. They are two entirely different document formats. While you can export from one file format to another, they are not the same. Word file formats are usually used for word processing, editing, and making changes to text. PDF documents on the other hand, are most often utilized for viewing, sharing, and printing. Additionally, Word files are read and write and contain some version of the “.doc” file format. Whereas PDF files are typically read-only and contain the “.pdf” file format.

3.

Can you protect PDF documents from being edited by other people?

Yes. If you have a PDF document that you don’t want anyone else to edit, you can protect the file. You can do this by opening the file in Acrobat, for instance, and clicking Tools > Protect. Then you have a few options as to whether you want to simply restrict editing with a password, or if you want to encrypt the file for further safety. Once you choose how you want to protect the PDF document, you can set a password and save.

4.

Can you merge PDFs with a free PDF editor?

As a matter of fact, many free PDF editors allow you to merge two or more PDFs into one document. Such is the case with our top free pick PDF Candy. Open up the PDF editor application or website in your browser and search for the Merge option. It will then ask you to add the files of all PDFs you wish to merge. Once the files have been added, arrange the page order and alignment before proceeding with the merge. Afterwards, all of your previously PDF files will be merged into one new PDF document.

5.

Does Google have a free PDF editor?

Yes and no. Google doesn’t provide a designated free PDF editor itself, but there are third-party Chrome extensions that you can use to help get the job done. Alternatively, you can make use of Google Drive to edit a PDF document. Simply upload the document onto your Google Drive and then select the file and right-click and select Open with > Google Docs. The file will be opened as an editable Google Docs text document. Then just make your edits and when you’re finished click File > get >PDF Document to revert it back to a PDF file.

This method is a quick and easy way to edit a simple PDF document, but be careful as Google Docs can run into formatting issues if your original document has complex visual formatting such as tables and graphs. In this case, it is best to use a designated free or premium PDF editor.

This Dumbbell Workout PDF Plan Is the Perfect Home Training Routine

HOME WORKOUTS CAN be bland, uninspired rounds of the same few bodyweight exercises if you don't put effort into your plan. You've made the commitment to keeping your fitness routine going strong when you aren't training with a whole gym's worth of equipment—so why not make that sweat just as worthwhile? You're a Men's Health MVP. You know there's a better way.

All you need for this muscle-building, fat-burning workout program is a set of dumbbells and an adjustable bench. If you have those pieces of gear at home, you're set for this whole program. There are three separate full-body splits (Workouts A, B, and C), which means you'll be able to hit every muscle group for a well-rounded routine. You'll perform each of these workouts once per week, with at least one rest day between each session so you can recover for the next one.

The key here is following the directions and putting forth max effort. The order in which you perform the exercises—along with the number of reps for each—allows the same pair of dumbbells to challenge each muscle equally, so you won't need a whole rack of weights. The program is composed of supersets. You'll perform the first pair with a minute of rest between the movements—but the second superset of each workout will be performed back-to-back with no rest, pushing the pace to ramp up your heart rate while you challenge your muscles.

Ready to deliver this program a shot? Check it out here.

How to Password Protect a PDF (With and Without Adobe Acrobat)

There may come a time when you need to send someone a PDF that contains sensitive information, such as your tax information, financial details, Social Security Number, or other data. Naturally, you don’t want that information falling into the wrong hands. If you password-protect your document, only someone with the password can open the file.

Encrypting a Word Document may be your best bet for collaborating with others, but a PDF is the right choice for sending important records. However, there are some complications here. Not only will you need to figure out a way to share the password securely, but the free version of Adobe Reader does not support password protection.

Normally, you’d need to purchase or subscribe to the full Adobe Acrobat program, but that’s a pricey prospect if you require only the occasional password. Instead, a variety of third-party programs and online services will let you slap a password onto your file. Let’s check out your options.

Adobe Acrobat

If you do want to buy the full Acrobat program for reasons beyond the password protection, Acrobat Standard 2020 will run you $358 as a one-time purchase. If you prefer a subscription option, Acrobat Standard costs $22 on a monthly basis, $12.99 a month for a one-year commitment, or $155.88 if billed upfront for the year. Both Standard and Pro support password protection, so you can save yourself a few dollars by going with the cheaper plan.

Adobe Acrobat Plans

(Credit: Lance Whitney / Adobe)

If you need a password just one time or for the next several days, snag a free seven-day trial to Acrobat Pro. The only requirement here is that you’ll have to supply your credit card information to get the free trial. Just remember to cancel before the seven days are up or you’ll be charged $19.99 plus tax for the full month.

In order to password protect a PDF, open the document in Acrobat Standard or Pro, then click the Menu icon in the top-left corner and select Protect Using Password.

Open the PDF you want to protect

(Credit: Lance Whitney / Adobe)

In the pop-up menu, select Viewing if you want the recipient to enter a password to view the document or choose Editing if you want them to enter a password only to edit the document. In most cases, you'll want to enable a password for viewing so that no one can read the file without the proper credentials.

Make your selection, then type and retype a strong password in the appropriate fields. The program will measure the strength of your password. Click Apply to save your password.

Create and apply your password

(Credit: Lance Whitney / Adobe)

Some documents, such as editable forms, may not be able to use password protection. In these cases, you might bump into an error message telling you that the file could not be saved due to a bad parameter. The trick here is to save a copy of the file and then password protect the copy. To do this, click the Menu icon, move to Save as other, and select one of the other PDF types.

Save a copy of the PDF

(Credit: Lance Whitney / Adobe)

Name the copy something differently from the original, then open the copy in Acrobat and try the password-protect option again. After you password protect the file, you should receive a message telling you that it was successfully protected.

Enter the Password

(Credit: Lance Whitney / Adobe)

Now when someone want to gain access to the document, they can open it in Adobe Reader, Adobe Acrobat, or another PDF reader. They should then receive a prompt asking for the password. They can type the password and click OK, and the contents of the document will be available.

If you ever want to remove the password from the document, open the file in Acrobat and enter the password. Click the Menu icon and select Protection > Security Properties.

Remove the Password

Click the Security Method drop-down menu and change it from Password Security to No Security. Click OK and then OK again. Resave the file, and the password will no longer be stored with it.
